Meeting Minutes

December 11, 2017

​Present:  Barbara Kemp, Teresa Vaughn, Dawn & Joe Humbertson, Dan Failacci, Traci Poppert, Trish Abell, Dana Cummingham, Kathy Higinbotham, Kim Stevens, Alice Zalatoris, Theresa and Gregory Anderson, Scott Lewis, Sarah Vaughn, Beth White, Kate Dudash, Shari Nakamoto, Chris and Nancy Voell, Gretchen LordCall to OrderIt began at 7:35 and was presided over by Joe Humberton, with Dan Failacci as secretary.

Approval of Previous Minutes:
November Booster Meeting minutes approved.

President’s Report:  Executive Board met for December.
  • Indoor budget finalized – cost in line with budget
  • Upcoming events were reviewed, choir to do concession at Thursday
  • Board approved replacement of portable uniform racks
Vice President’s Report:  Banquet – organized by Missy Carder

Secretary:  Nothing to report

Treasurer:
  • For Nov:  ~$32.8k incoming, ~$82.9k outgoing.  4 major payments for Disney.  See Dana for specific details.
Directors Report (Kim absent, given by Joe):
  • Dress rehearsal for winter concert time change – to end at 4:30 instead of 5:30 per calendar.
  • Winter concert Thursday 12/14
  • Feeder Concert Jan 4.  We will be doing concessions that night.  See Teresa if you can help
  • Rehearsal for Disney Jan 8 after school.  Trailer will be loaded after rehearsal.
Student Accounts:
There are still a few outstanding fees for indoor season.  

Committee Reports

Fundraising:
Need someone to take over fundraising for next year.  If interested, see Traci Poppert
  • Nidos – $260 (no check received yet). Brings wine fundraiser total to ~$1339
  • Mixed bag pickup is Wednesday 4-6.  There are no backorders.
  • Applebee’s Pancake Breakfast - $798.  There were more kids who volunteered this year (and we paid to feed them).  Price also went up for the meal by $1 from last year, so not as good as it could have been, but still a do again.
  • Freckled Moose –Sarah has on hand tonight.  11 kids participated - $1277 ($446 into student accts/$129.25 into general fund).
  • Breakfast with Santa – 387 people paid, 64 photos with Santa.  $300 in Santa’s workshop.  Thanks to everyone who donated items to sell.  Big kudos to Cindy to help organize and run this event.
Two general fundraisers left
  • Barnes and Noble Book Fair – Sunday 12/17, 10am-5pm.  Looking for 3 hr shifts.  Signup genius email out for signup.
  • Christmas Tree Pickup.  $15/20 tree to pick up and dispose of Christmas trees after Christmas.  Need help advertising on social media.  PDF available to share on Facebook or other social media sites.  See Gretchen Lord
Uniform Report:
All but 2 kids measured for concert wear.  Replacement uniform racks have been ordered.

Pit Crew report:
In need of a new Pit Crew Boss for next year.
Props are in design for indoor.

Chaperones:
No report.

Disney:
Sarah has passes if you ordered them (not chaperones).  Kim printing out risk forms.  Kids cannot scan their cards to set up until risk form and health forms have been returned to Kim.  Final payments were due tonight.  Room blocks have not been assigned yet.

Other Events:
KIDA Indoor show 3/10

The following positions are available for the board for next year – President, Vice President, Pit Crew Boss, Students Accounts and Fundraising chair.  Please consider running for one of these positions next year so we can keep the TJ band machine rolling
